How to use Deals boards



Do you want to automatically turn your website visitors into sales leads? Or how about having a full overview of every stage a deal goes through? Sanity Desk’s Deals boards section is the tool you’re looking for. Read this article and find out how to manage your deals efficiently.

Creating a new deals board

The Deals boards section serves as a dashboard where you can see your leads and at which stage of the sales process they are. The deals boards are created manually, but the deals within them could be created both manually or automatically through the Marketing Workflows subsection.

To create a deals board, follow these steps:

Click on the Deals Boards section in the navigation bar on the left.

In the new window, click the New deals board button in the upper right corner.

In the pop-up window, you’ll see the settings of the new deals board.



In the Board name line, enter the name of your deals board.

In the Currency line, select the default currency of the deal.

In the Won column line, select which column will mean that the deal was successful.

In the Lost column line, select which column will mean that the deal was failed.

In the Stages option, designate the stages of the sales process and select the probability of achieving the deal at a certain stage.

In the Labels option, customize the markers of a deal urgency.

In the Agents line, add sales agents who are responsible for the deal.

After you’ve customized the settings of the board, click the Confirm button.

Creating a deal manually

After you’ve created your deals board, you can create new deals within it by following such steps:

Click on the name of a deals board.

Click on the New deal button in the upper right corner.

In the pop-up window, you’ll see customizable settings of a deal.



In the Deals name line, enter the name of the deal.

In the Description line, give a short description of the deal.

In the Product line, select which product your lead is interested in.

In the Deal value line, select the cost of a deal and the currency.

In the Agent line, select the account of a sales agent who is responsible for this deal.

In the Followers line, select agents who are going to supervise this deal.

In the Stage line, select the stage of the sales process, at which the deal is at the moment.

In the Label line, select the marker of the deal’s urgency.

In the Contact line, select the contact from your user database or add a new one by clicking on the New Contact button.

In the Email line, enter the email address of the lead.

In the Phone number line, enter the phone number of the lead.

In the Company line, enter the name of the lead’s company.

In the Due date line, set a deadline for the deal.

In the File line, attach a document with additional information to the deal.

After you’ve selected the necessary options, click the Confirm button.

Creating a deal automatically

Besides creating deals manually, you can also customize the settings of the Marketing Workflows subsection, so that they would be automatically added to deals boards. It means that after a user did particular actions on your website (you can select which ones), a deal with the information about this user will automatically be created and added to a certain deals board. To do so, follow these steps:

Open the Marketing workspace.

Click on the Communication section in the navigation bar.

In the dropdown window, select the Workflows subsection.

In the new window, click the New workflow button in the upper right corner.

In the pop-up window, give the name to your workflow and click the Confirm button.

After this, you’ll be automatically redirected to the page, where you can customize the workflow settings.

Firstly, select a trigger from the list in the right part of the page, e.g. Quiz submitted.

Click on the trigger, drag it and drop on the workflow scheme.

After this, go to the Actions section and select the Create deal action.



Drag and drop it on the workflow scheme.

Click on the Create deal box in the workflow scheme and you’ll be able to edit it.

In the Edit section on the right, you can customize the properties of a deal that’ll be created automatically.


In the Select deal board line, select one of the deal boards, to which new deals will be added.

In the Name line, enter the name of the deal.

In the Product line, select one of your products to which the deal will be related.

In the Deal value line, enter the cost of such a deal.

In the Currency line, select the money currency of the deal.

In the Agent line, select the sales agent responsible for this deal.

In the Stage line, select the sales process stage, on which the deal will be placed.

In the Label line, select the marker of the deal urgency.

After you’ve customized the deal settings, click on the Save button in the upper right corner.

You can also create more workflows for different actions that a user might have done. For example, if the user visited a page or watched a video. To do so, follow the steps above and select the respective options in the Actions section.

Managing a deal

Once your deal was created either manually or automatically, you’ll see it in one of the vertical sections of sales stages. To change the status of the stage, follow these steps:

Move the cursor to the upper left corner of the deal until you see the dots.

Click on the dots and move the deal with a double click and drag.

Note. The status doesn’t always automatically change for deals created with the help of Workflow. For some stages, you need to do it manually.

To get a full overview of a deal, follow these steps:

Click on the box of the deal.

In the new window, you’ll see every change that has been made to the deal and the agent that did it.



To change the stage, agent, due date, and label of the deal, select the options in the respective boxes above.

To communicate among the team or add notes to the deal, use the option of typing at the bottom of the window.
